Important Information for All Vendors

People look forward to seeing you.  Use your creativity and imagination!

 

 

The more, the merrier!  All vendors must be insured.  Check out our one-day group insurance offer.

 

 

Bring a tent.  However, NO stakes in the pavement or sidewalks, please!

 

 

Expect a crowd, so be sure to have enough items to sell!

 

 

You will be able to park vending trailers in certain designated areas. Electricity will not be provided. Low noise generators will be allowed.

 

 

 

 

 

Join the fun as a vendor! Business, craft, food, and racing collectible vendors along with non-profit organizations are all welcomed. If you have a venue that would add to our festivities, contact Watkins Glen Promotions @ 607/535-3003.

 

1.) "Thunder In the Glen", sponsored by Watkins Glen Promotions, will be held on Wednesday, August 8, 2007 from 3 to 9 P.M. at Seneca Harbor Park in Watkins Glen, New York.

 

2.) The 2007 fee schedule will be forwarded to you upon request. Fees are based on the type of vendor and amount of space required (l0' x 10', 10' x 20,' or 10' x 30'). All vehicles essential to your display set-up (i.e. trailers, support vehicles, etc.) that will be parallel to Franklin Street during the event are included in the space requirements listed above. No pushcarts are allowed.

 

Craft and racing collectible vendors need to be aware of the registered marks of Watkins Glen International when designing your product. Call the Event Chair with any concerns.

 

Registration fees must be paid accordingly and paid at the time of submission of your contract. All products on sale during "Racing Thunder In the Glen" must be in good taste with our family event.

 

3.) Vendor applications forms must be returned no later than Friday, June 22, 2007. Applications of new vendors will be reviewed by the committee. Accepted applicants will receive the vendor contract that will be mailed no later than Wednesday, June 27, 2007.

 

4.) Each vendor must have a certificate of liability insurance to participate in "Thunder In the Glen." A vendor has the following options:

 

a) Watkins Glen Promotions offers the required insurance coverage @$45.00 for the day.

      EXCEPTION: Food vendors must secure their own liability insurance.

b) Secure a certificate of liability insurance from your insurance company with one of these two options:

  *bodily injury for $1,000,000.00 per occurrence and property damage for $500,000.00 per occurrence,

OR

*$1,000,000.00 per occurrence combined single limit.

For either option, the certificate must include the following wording: naming Schuyler County Chamber of Commerce, Watkins Glen Promotions, Schuyler County and the Village of Watkins Glen as additionally insured. (ALL FOUR NAMES MUST BE INCLUDED.)

 

5.) Food vendors must obtain a valid New York State Department of Health Permit. Apply early!

6.) The following items are to be returned to Watkins Glen Promotions no later than Wednesday, July 4, 2007.

The signed 2007 contract.

Check for the correct fee. All checks are payable to Watkins Glen Promotions. Include the group insurance fee if you opted for that choice.

Certificate of liability insurance if you are not purchasing insurance from Watkins Glen Promotions. (A requirement for all food vendors.)

FOOD VENDORS: A copy of your NYS Health Permit.

ALL VENDORS: photocopy of your valid NYS Certificate of Authority to Collect Sales and Use Tax.

Local law enforcement agencies have informed Watkins Glen Promotions that a photocopy of your valid NYS Certificate of Authority to Collect Sales & Use Tax must be on file with the event coordinator. In addition the NYS Certificate of Authority to Collect Sales & Use Tax must be posted at your vendor site on the date of the event.

 

8.) Registrations POSTMARKED after Friday, July 6, 2007 will be accessed an additional 30% fee. Example: $230 on or before July 6, $300 after July 8.)

 

9.) Each vendor must comply with all federal, state and local laws, health codes, ordinances, rules and regulations as appropriate. The vendor shall also comply with all requirements of federal and state social security, unemployment, compensation and tax withholding laws as well as carrying

appropriate insurance, and will provide Watkins Glen Promotions with copies of insurance coverage.

 

10.) Spaces will be assigned on a seniority basis and honoring prior involvement in "Thunder in the Glen." Location assignments are final. There will be no rearrangement of vendors on the date of the event, as a map locating each vendor will be filed with the local and county authorities on Tuesday, July 31, 2007.

 

11.) The event will be held rain or shine. The vendor will be responsible for any tent or awning. NO SPIKES OR STAKES ARE TO BE DRIVEN INTO ANY PAVED SURFACE. Committee members appreciate your cooperation to provide a neat appearance of your vending site that will enhance the event. Electricity will not be provided. Low noise generators will be allowed.

 

12.) Set up time begins at noon. The staging area will be stated in your setup letter to be mailed upon approval of all registration materials. We encourage all vendors to park support vehicles at Operations Building of the Watkins Glen Central School District, 706 South Decatur Street, Watkins Glen, New York.. Break down of all vending sites must begin no later than 10:15 P.M. and be totally completed by 11:00 P.M. on August 8, 2007.

 

13.) All vendors must leave their assigned space clean of debris and trash. Failure to comply means you will be charged for the cost of removing the debris and trash.
